Welcome to the new Custom Courier app
This is the new Custom Courier app. It isn’t a new way of working with us. It’s a clearer view of the work you already send us.
You’ll book, follow and pay for your deliveries much as you do today. What’s different is that everything about a booking now lives with it, including its pricing and any corrections to it. Less hunting, fewer follow-up calls, and the same service you’re used to.
This guide gives you the lay of the land first, then walks through the app one step at a time.
Why it changed
The old system was built around single trips. But a lot of your work isn’t a single trip: it’s one pickup going to five places, or five pickups coming to your dock. That meant separate trips for one job, and when a price needed a follow-up or a correction, that happened away from the booking itself.
Now one booking holds the whole job, and its charges, adjustments and credits stay with the booking they belong to. You can see how a price came together without chasing it down.
It also gives a clearer picture of the work as it was actually done, not just as it was booked: when the driver arrived and left each stop, who signed, and the photos they took. That should mean fewer mistakes, and fewer questions about what happened.
It’s also a new foundation, so we can keep improving it based on what you tell us.
How your work is organised: bookings and shipments
Two words come up throughout the app:
- A booking (M-…) is one job you send us. It’s what you book, change, track and are invoiced for.
- A shipment (S-…) is one load inside a booking, going from one pickup to one delivery.
So one pickup going out to three clinics is one booking with three shipments. You book it once, and then follow each shipment on its own: when it was picked up, when it was delivered, and who signed for it.
New in v2: bookings that hold as many shipments as the job needs.
What you'll find in the app
- Book single, multi-drop and multi-pickup work in one form, from your saved locations.
- Change or cancel a booking until a driver is offered the work.
- See each stop’s arrival and departure times, and proof of delivery as soon as the driver captures it.
- Open your invoices online, and download them as PDF or Excel.
- Save regular runs as templates, and book several at once.
- Your saved locations, and your team’s access.
How this guide works
The rest of this guide follows one example delivery from start to finish. Prairie Peak Supply is sending new treatment chairs from its warehouse to two clinics, Harbourview Dental and Lakeside Clinic. We’ll book it, change it, see it handed to a driver, follow it on the road, get proof of delivery and receive the invoice, then book a regular run from a template.
Each section is one step, with a short clip showing it in the app. Read straight through, or jump to the part you need.
Your dashboard
This is where you land when you sign in. Across the top is a count of what’s pending, what’s on the road today, and what you’ve booked and completed this month. Below are your open bookings, and on the right is Needs attention: bookings you can still change, and proof of delivery as soon as a driver captures it. Your latest invoices and the current fuel surcharge are here too.
New in v2: a dashboard that tells you what needs your attention, not just lists.
Book a delivery
Click Book a delivery. Booking is a short form you fill in one step at a time (Route, Cargo, Schedule, Details, Review), and nothing is booked until you submit at the end.
1. Route
First, the shape of the booking. One pickup going out to several places is Distribution; several places sending to one is Consolidation; separate pickups and deliveries are just shipments. Whichever it is, it’s one booking.
Start typing an address, or pick one of your saved locations. Here, the warehouse is the pickup, and Add another delivery adds the second clinic. The panel on the right shows how many shipments the booking will make.
2. Cargo
Pick a cargo type and it fills in the typical weight and size for you. Set the number of pieces and add your own reference so it’s easy to match up later. When every delivery gets the same thing, Copy this cargo to all saves typing it twice. Then choose the vehicle.
3. Schedule and 4. Details
Pick a service level and the day it’s ready. Leave the time blank and we’ll pick it up as soon as possible; if one stop needs its own time, set it on that stop. Then give the booking a name you’ll recognise, your PO number, and any notes for us and the driver.
5. Review and submit
Look everything over and click Submit booking. Your booking number comes up right away, and the booking gets its own page.
You won’t see a price while booking. We price each booking once it comes in, and the charges then show up on the booking page.
New in v2: one booking for single, multi-drop and multi-pickup work, from your saved locations.
Change it while it's open
Every booking has a progress track that shows where it’s at, from quote right through to invoiced. Until a driver is offered the work, it’s yours to change.
Click Edit booking and the page you’re reading becomes editable, right where it is. Click Edit on a shipment to change its cargo, addresses or vehicle, like the footrest kit added for Harbourview here. The service level stays as booked.
Dates and times are set once you’ve booked, because that’s what we plan your pickups around. To change them, give us a call. Click Done on the shipment, then Save changes to save everything on the page at once. Nothing is saved until you do. You can also cancel it, or download a pricing summary, from the menu next to Edit booking.
New in v2: edit or cancel your own booking until a driver is offered the work.
Handed to a driver
Once we’ve priced the booking and offered it to a driver, two things change on its page. First, there’s a price: the charges, the fuel surcharge, and the total you’ll be billed after delivery. Second, the booking itself closes, because a driver is now planning around it, and the page says who to call for changes. You can still add documents, and Edit references lets you set the department or project reference on your charges right up until they’re invoiced.
On the road
While the booking is on the road, its page shows each shipment’s progress. Click Expand all to see each route as a timeline: when the driver was due, and when they actually arrived at and left each stop. If they ran late, it tells you. Each shipment’s shipping label and bill of lading are one click away, too.
Proof of delivery
You don’t have to go looking for proof of delivery. As soon as the driver captures it, it shows up on your dashboard under Needs attention. Click Show to see it on the shipment: who signed, the signature itself, and the driver’s photos.
New in v2: signature and photos on the shipment page, and on your dashboard as soon as they’re captured.
Your invoice
Once every delivery is done, we close out the booking and send the invoice to your billing contacts. Every invoice is also under Invoices. Open one to see exactly what it covers: the charges, fuel and GST, and line by line, each booking and the shipments in it, along with any credits. Download it as a PDF, or in Excel if your accounting team wants the raw numbers.
New in v2: invoice line items and credits online, in PDF and Excel.
Next time: book from a template
Runs you book often can be saved as templates, and a template can hold a whole multi-stop route. Under Templates, tick the ones you need and choose Book from templates. Set the date for each one, or once for all of them, and each template becomes its own booking.
To make a template, use Create new template. It’s the same form you book with.
New in v2: multi-shipment templates, and booking several at once.
Your locations and your team
Every place you ship to lives under Locations. Add a new one, or open one to update its contact or address, and it’s ready the next time you book.
In Account Settings, admins choose where invoices and quotes are emailed, and manage the team: invite people by email as an admin or a member, resend or revoke an invite, or change someone’s role later. No phone call needed.
New in v2: invite and manage your own team.
That’s the new Custom Courier app: the work you already send us, in one clearer view.
If something isn’t clear, or you’d like it to work differently, let us know. We built it to keep getting better, and your feedback is what makes that happen.
